The sourcing team sought to simplify their manual processes and maximize productivity through automation. Previously, they relied on an external tool for pre-selecting, evaluating, and sourcing candidates. However, the process was entirely manual, making it slow and disconnected from the existing internal talent pool.
To address these challenges, they required a custom tool offering all the functionalities of the external solution but with a more intuitive user interface and seamless integration with the internal talent pool. This would streamline their workflows, improve efficiency, and ensure better alignment with organizational needs.
RESEARCH
I began my research by benchmarking platforms such as Recruitee and Workable to explore their sourcing flows and architecture. This provided valuable insights into industry standards and best practices. Additionally, I conducted interviews with users to understand how they utilize their current recruitment tool, e-Recruit, and gathered feedback on their experiences. By analyzing the data collected, I identified key scenarios where improvements could be made, laying the foundation for an enhanced recruitment solution.
CONCEPT AND PROTOTYPING
I created wireframes and prototypes for the primary flows, focusing on a concept centered around the use of templates. These templates could be easily nested within any process, offering scalability and flexibility. Sourcing teams could design templates for surveys, agreements or exams, including yes/no questions, open-ended responses, and multi-selection options. The templates were editable and reusable, streamlining repetitive tasks and enhancing efficiency.
Additionally, I introduced another scenario where the sourcing team could create pipelines for specific sourcing processes. These pipelines allowed the creation of custom procesess providing a tailored approach to different recruitment needs. This design aimed to maximize functionality while maintaining an intuitive and adaptable user experience.
TESTING
I shared the prototypes with users and product managers to gather valuable feedback and insights. After a few iterations based on their input, I refined and modified the prototypes to address their needs effectively. Once the adjustments were made, I validated the design to ensure it met the project’s goals and user expectations.
The final design was handed over for production after receiving approval from product managers and stakeholders. Our development team led the first phase of the project, which focused on implementing template creation and editing features. Subsequently, another team took over to complete the second phase of the project.
The screening automation system is now fully operational and actively used in the sourcing process on the AI platform, significantly enhancing efficiency and streamlining workflows.
I gained valuable insights into designing scalable structures for sourcing processes. I also deepened my understanding of the structure of sourcing teams and their specific tasks. Working on creating automation processes was a new and rewarding challenge, and I thoroughly enjoyed learning about its impact on efficiency and productivity.
I firmly believe that digital automation will continue to expand across all areas, revolutionizing workflows and enabling new possibilities. This excites me, and I am eager to further explore and contribute to the development of automation solutions in the future.
